Logistics Coordinators

We are seeking volunteer Logistics Coordinators to our operations in Athens and Northern Greece able to start during the beginning of 2019. The Logistics Coordinators have to be able to commit for at least 10 weeks.

The Logistics Coordinators are responsible for A Drop in the Ocean´s overall logistics, including operating of warehouse, sourcing and distribution through our DropShops. 

Responsibilities

  • Management of A Drop in the Ocean´s warehouse, distribution and logistics at the location
  • Management of our  DropShop / Market at the location

Tasks

  • Keeping an overview of needs for supply, and make sure we at all times have what is needed at the location
  • Call for necessary donations (i.e. clothes, shoes, fabric, blankets)
  • Receive donations to the warehouse (unpacking, sorting, labeling, packing)
  • Meeting and training of volunteers in warehouse
  • Maintenance of warehouse security and cleanliness
  • Operation of DropShop/Market inside camp.

Qualifications

  • Experience within logistics such as supply chain management as well as warehouse management
  • Experience in or knowledge of donation procurement
  • Good knowledge of database/spreadsheet management and maintenance
  • Service minded, good communication skills and experience with problem solving
  • Fluent in English, preferable with knowledge of Greek
  • Project management and team leading skills
  • Experience from humanitarian work, primarily from areas in crisis is valuable.
  • Valid international driver’s license

The Logistics Coordinator of Northern Greece has some additional responsibilities, such as ensuring that sufficient food for the residents is purchased, whilst remaining within the budget. The Logistics Coordinator is also responsible for the weekly distributions of vegetables and fruits as well as dry food.

Site Coordinators

We are currently seeking potential Site Coordinators to our operations where we run various projects in and close to refugee camps, warehouses and distribution.

Responsibilities

Our Site Coordinators are responsible for A Drop in the Ocean´s overall activities at the locations. This include volunteer staff, logistics and warehouse management, finances and reports, projects and activities, running of DropShops and distribution.

Tasks

  • Training, mentoring and supervision of all Coordinators at the location in question
  • Recruiting of volunteer team leaders
  • Weekly team meetings with Coordinators on site
  • Exit conversation with leaving Coordinators and volunteers
  • Reporting:
    • Weekly meetings with Head of Operations
    • Weekly written report to Head Quarter in Norway
    • When required; reports to donors
  • Keeping the financial situation at location in line with budget
  • On behalf of the organisation, take part in meetings under the direction of UNHCR/military/camp management/donors/other NGOs etc
  • Maintain an overview of available equipment and donations belonging to the organisation
  • Through activities on social media, contribute to knowledge regarding the organisation´s work at the location
  • In charge of preparedness, safety of staff and HSE at the location

Qualifications

  • Higher education
  • Good leadership skills and experience from working with multicultural teams
  • Experienced with, and good references from running and being in charge of operations within the humanitarian sector
  • Service minded, good communication skills and experienced with problem solving
  • Fluent in English, preferable knowledge of Greek or Arabic
  • Project management

All Site Coordinators with A Drop in the Ocean contribute on volunteer basis, and are travelling on their own responsibility, and must be able to contribute for at least 12 weeks.  A Drop in the Ocean cover travel expenses, telephone, rental car and housing. A valid driver’s license is necessary to be considered as a Site Coordinator. The organisation covers personal expenses up to a certain amount on a monthly basis.

Market Manager, A Drop in the Ocean, Northern Greece

We are looking for a long-term volunteer interested in volunteering as Market Manager for our DropShop in Nea Kavala camp in Northern Greece with durability for at least 4 weeks.

The Market Manager is responsible for the operation and the daily running of our DropShop, which provides a shop environment for distribution of clothing and hygiene items to over 700 residents.

Among the tasks are:

  • Develop and maintain routines to ensure that the DropShop runs efficiently.
  • Manage a team of international and resident volunteers during opening hours
  • Train volunteer staff in DropShop processes and systems
  • Create a safe environment within the DropShop, in collaboration with the onsite coordinators
  • Report weekly to the onsite coordinators
  • In cooperation with Logistics Coordinator, ensure that the DropShop always has sufficient items for “sale” and distribution to residents
  • Use the Drop App to ‘sell’ items to residents
  • Work with the onsite Volunteer Coordinator to produce a volunteer rota
  • Field queries and complaints from residents.

We are looking for a volunteer with the following background

  • Experience in retail and supply chain
  • Good leadership skills
  • Service minded and experienced with problem solving
  • Experience with humanitarian work
  • Fluency in English. Arabic, Kurmanji, French or Farsi skills advantageous.

Team Leader, A Drop in the Ocean, Drop Centre, Lesvos

To our services close to the refugee camp Moria, in Moria village, we are looking for a long-term volunteer interesting in contributing as Team Leader for at least 4 weeks.

The Team Leader will be responsible for the operation of the daily activities in the Drop Centre

Among the tasks are:

  • Maintain and development of routines for our activities
  • Training of volunteer staff to relevant activities
  • Maintain daily and weekly schedule for all learning activities
  • Oversee the cleaning and maintenance of our inside areas of the centre
  • Establish and follow-up good opening and closing procedures for the centre
  • Communicate with Project Coordinator regarding need for restock

We are looking for a volunteer with the following background

  • Good leadership skills
  • Structured and organised
  • Service minded and experienced with problem solving
  • Experienced within the humanitarian sector
  • Experience from administrative work
  • Good English skills. Arabic and/or Greek skills advantageous

Team Leader, Elefsina refugee camp

To our services in the refugee camp Elefsina close to Athens, we are looking for a long-term volunteer interesting in contributing as Team Leader for at least 4 weeks.

Head of Operations, Greece

We are currently seeking Head of Operations with responsibility for our overall operations in Greece.

Tasks

  • Implementation of A Drop in the Ocean´s strategy in Greece
  • Keeping the financial situation in line with budget
  • Ensure compliance and consistency throughout all activities
  • Research, planning and implementation of new projects and activities
  • Responsible for Coordinator-housing and warehouse facilities
  • Overseeing logistics such as supply chain management, warehouse facilities and distribution
  • On behalf of the organization, take part in meetings with partners and collaborators such as other NGOs, UNHCR, camp management etc.
  • Supervision of Site Coordinators
  • Visits and follow-up of locations on a monthly basis
  • Volunteer management

 Qualifications

  • Experience from leading humanitarian operations, preferably in Greece. Advantageous if previous Coordinator or volunteer with A Drop in the Ocean or other NGO´s working in the field in Greece
  • Higher education
  • Experienced project manager, preferably from humanitarian work
  • Good leadership experience and skills
  • Good communication and interpersonal skills
  • Experience with problem solving
  • Fluent in English, preferably also Greek
  • Advanced IT skills

Head of Operations in Greece must be able to commit on volunteer basis for at least 6 months. The organisation covers travel expenses, phone, rental car and transportation to locations when on duty, and housing. In addition personal expenses will be reimbursed. A valid international driver´s license is necessary.

Vi har behov for flere koordinatorer

Å bidra som koordinator byr på allsidige, innholdsrike og meningsfulle oppgaver.
Hovedansvaret er å lede og koordinere aktivitetene og arbeidet blant Dråpen i Havets mange frivillige på ulike destinasjoner i Hellas.

Koordinatorene ved de forskjellige lokasjonene har noe ulikt ansvar og oppgaver, som f.eks

  • Prosjekt Koordinator med ansvar for alle prosjekter
  • Frivillig Koordinator med ansvar for opplæring og oppfølging av frivillige
  • Logistikk Koordinator med ansvar for vårt lager, drift av market og mottak av donasjoner
  • Site Koordinator som blant annet er administrativt ansvarlig og nærmeste leder til de øvrige koordinatorene.

Blant øvrige oppgaver til koordinatorene, er å koordinere og planlegge innsatsen til de frivillige som består i blant annet distribusjon av mat, klær og nødvendig utstyr, lagerarbeid, aktiviteter for barn, språkundervisning og drift av market (Drop Shop).

Koordinatorene er Dråpen i Havet sine representanter på de ulike destinasjonene, og samarbeider tett med andre humanitære organisasjoner, UNHCR, lokale myndigheter mv.

Bakgrunn fra humanitært hjelpearbeid, primært fra kriserammede områder er en stor fordel i rollen som koordinator. Solid erfaring fra prosjektarbeid og ledelse er en forutsetning for å bli vurdert til en koordinator rolle. Krevende og hektiske arbeidsdager betyr at det er viktig å ha god helse, svært gode kommunikasjonsevner, serviceinnstilling og allsidige datakunnskaper. Det er en forutsetning at koordinatorene behersker engelsk flytende.

Koordinatorer for Dråpen i Havet reiser på eget ansvar, og vi ønsker en minimums oppdragslengde på 8 uker, i tillegg kommer en uke med opplæring og overlapping. For Site Koordinator, er det en forutsetning at man har mulighet til å bidra i minst 4 måneder sammenhengende. Dråpen i Havet dekker reisekostnader, bosted og leiebil på destinasjonen. I tillegg har koordinatorer mulighet til å søke om økonomisk støtte til å dekke sine personlige utgifter under oppholdet.

Som for øvrige frivillige, gjelder at man er over 25 år for å bli vurdert til en rolle som koordinator.
